Southwood Hall is an award-winning wedding venue in rural Broadland, Norfolk seeking a full-time experienced wedding and events coordinator to support our Event Manager in the organisation and delivery of first class events.
The candidate must already be working in a very similar environment and be ready to hit the ground running.
We expect you to demonstrate a mature and considered approach, be confident delivering both intimate and large-scale events and be ready to lead an event day team focussed on the customer’s needs calling upon your past experience in a fast paced hospitality environment.
The Role:
You will be hands on in meeting clients and discussing their needs to craft bespoke celebrations ensuring that meticulous plans are put in place. You will remain focussed on delivering exceptional customer service and supporting our clients throughout their event whilst leading our team front of house and liaising with all departments throughout. We work to exceptionally high standards, as an ambassador we expect that you will emulate these with attention to detail and a positive can-do attitude.
Responsibilities and Duties
Tasks will vary throughout the week and across seasons, but would typically include:
- Management of enquiries and conducting customer viewings
- Creation of quotations and costings
- Confirming bookings
- Planning of weddings and events
- Maintaining our event and facilities diary
- Liaise with external suppliers delivering entertainment and décor services
- Leadership of our event day team throughout weddings and events as they take place
- Deal with problems and challenges as they arise finding appropriate solutions
- Contribute to social media channels
Candidate Requirements:
- A minimum 2+ years’ experience in a wedding coordination role within a venue or outside caterers working in the hospitality & customer services environment.
- Enjoy building and developing client relationships, delivering fantastic customer service
- Admirable client care skills including strong telephone and communication skills.
- Strong organisation and administration skills with a keen eye for detail and the ability to prioritise tasks to meet strict deadlines.
- Good problem-solving skills, an ability to think laterally and creatively to find appropriate and timely solutions.
- Accuracy and attention to detail.
- Good written and verbal English.
- Ability to work under pressure, to multitask and prioritise.
- Work well within a team and communicate with all levels.
- Ambitious, self-motivated & hardworking.
- Proven ability to work well within a team, to lead and motivate others.
- Willingness to work flexible hours, sometimes with flexible roles, in order to meet the needs and responsibilities of this position.
- A “can do” attitude and willingness to muck in.
- Fully IT literate with a good working knowledge of Microsoft Office
- Proficient use of social media as an advertising tool
- Ability to be self-motivated and work alone
Working Hours & Benefits:
A full-time permanent role working an average of 40 hours per week over 5 days including evenings, weekends and Bank Holidays. A willingness to work six days per week in busy periods if demanded by the programme of events with time off in lieu at quieter times.
