One World are seeking a personable and organised Receptionist and Office Coordinator to join our ever growing, close knit team, at an extremely exciting time for us! Having just moved into our stunning brand new office in Shoreditch, we are looking to hire a dynamic Office Assistant to support with manning our Reception desk, supporting the team and running the day-to-day office operations. This is a new role with scope to grow and really put your own stamp on things.
Responsibilities
- Receptionist Duties
o Greeting and welcoming guests
o Answering the phone
o Allocate and keep track of ID cards
o Registering guests and notifying the relevant people of guest arrivals
- Office Manager Duties
o Being the first point of contact for any operational office issues and things like Health & Safety
o Maintaining and ordering stock of things like stationary, cleaning supplies, merchandise, drinks
o Organising and owning various documents that will range from user manuals, general filing, job descriptions etc
o Assist with events that are being held at the office
o Work closely with our cleaner to ensure the office is being kept in pristine condition and cleaning supplies are being maintained
o Keeping on top of the organisation of communal cupboards such as the stationary cupboard
o Keeping a track of IT equipment asset tagging
o Liaising with maintenance teams to ensure building quality is maintained
o Ordering lunches for meetings
- Support Duties
o Submitting expenses for the MD
o Supporting the Executive Assistant with ad hoc duties
o Typing up documentation on an ad hoc basis
Skills & Experience
- Experience in a support/Receptionist role
- Confident and approachable individual
- Organisation must be in your DNA
- Attitude of no task is too big or too small
- Self-sufficient and enjoys working independently, but able to do so in a very fast paced, busy environment
- Ability to multi-task and deal with a demanding workload
- Advanced MS Office skills
- A true problem solver
- Be comfortable asking the ‘stupid question’ or challenging
- Brilliant communication and relationship building skills
- Have an interest in One World and what we are doing
- High level of attention to detail
- This is an office based role, 5 days per week
