The post holder will be supporting the Medical Division through the medical matron team. Medicine is a busy team within the Trust and support is required to assist in delivery of our priorities. We require administration for a full range of activities.

The post holder will assist the medical matron team within the medical division in administration and clerical functions. The successful candidate will be required to provide a responsive service to the matron team, by organising and managing a full range of activities and support which facilitates the effective running of the team.
The post holder is required to work with a degree of autonomy on a variety of tasks, prioritising own workload on a day to day basis. The person will need to organise meetings; liaising with the chair in preparation of agendas, taking, typing and distribution of minutes/notes.
The post holder will need to provide a point of contact for the team, in a timely and courteous manner, providing advice, information, guidance and reassurance as required to a range of contacts and other professionals.

- To provide a comprehensive range of secretarial, clerical & administrative functions to the Medical Matron team, to co-ordinate administrative functions to ensure all tasks are carried out within agreed timescales.
- Post holder is required to work with a degree of autonomy on a variety of tasks, prioritising own workload on a day to day basis.
- To support the Medical matron team as required on team events and study days; including, booking venues, assisting in collating relevant paperwork and presentations.
- To organise meetings; including room bookings, Microsoft Teams meetings, liaising with chair in preparation of agendas, taking, typing and distribution of minutes/notes.
- To support the team in communicating with divisional personal assistants and Human Resources to track ESR’s to facilitate timely recruitment and establishment detail.
- To provide a point of contact for the team, in a timely and courteous manner, providing advice, information, guidance and reassurance as required to a range of contacts and other professionals.
- Deal efficiently and effectively with direct and indirect (i.e., telephone, face to face) enquiries from all levels of medical and nursing staff, Social Services and other health professionals and staff. Respond to complex enquiries, providing routine and non-routine information and non-clinical advice, resolving problems where possible.
- Provide accurate and confidential information to assist with data entry, strictly adherent to Caldicott and Data Protection Act and retrieval of patient information via the PAS, RIS, ICE and other departmental computer software programmes.
- Organise and manage workload to deliver service requirements; and plan ahead and liaise with colleagues to ensure continuity of service provision during annual leave.
- To be flexible and take account of continual interruptions from staff and visitors and action requests accordingly if priority dictates.
