About the job
The Admin Support Assistant position is an essential role within our company. The position is part-time, ideally over 2 or 3 days during the workweek between 09:00-17:30, based from our office in Redland. The post holder will be responsible for the following:
- Downloading and updating patient clinic information to ensure our system reflects the most updated version of the appointments diary
- Proof-reading and sending of medical reports
- Assisting the practice manager and director of the company to ensure the current service level is adhered to
- Sending consultation notes from the clinicians to the patients NHS GP
- Printing and sending letters from the printing queue, when necessary
- Communicating with other staff and at times clinics and hospitals.
You will be required to answer enquiries, troubleshoot problems, and provide general information.
You may at times be responsible for booking outpatient appointments and taking pre-payment while offering a patient-friendly, efficient, and confidential service. This role is fundamental to the day-to-day running of each practice.
Main duties of the role:
You will interact with the general public, nursing and medical staff within the private hospitals and clinics. At times, you may also speak with the admin staff at NHS Trusts. At all times it is key to ensure that all processes are carried out in a timely and accurate manner to ensure an efficient and quality service to all users.
The ideal candidate will possess the following:
- Excellent organisational and time management skills as well as being able to prioritise certain tasks over others.
- Confident, positive, outlook with a can-do attitude
- Proficiency in MS 365 Packages
- Ability to work autonomously
- High energy, initiative, and motivated to succeed and learn
- Attention to detail and problem-solving skills
- Ability to work in a small team and be a team player
- The willingness to go the extra mile
- A patient administration background would be highly desirable for this position.
- Appropriate training will be provided but IT skills linked with good keyboard skills would be a great advantage, along with an excellent telephone manner.
