Salary: £23,081 to £28,851, dependent on experience + pension + 25 days holiday per annum


Location: Leeds/Bradford area with hybrid working


*This role involves travel across the region, therefore a valid driving licence is essential*


Purpose of the role

As our Maintenance Administrative Support, you will provide administration support services to all teams within Maintenance Support and Asset Delivery covering; SAP work management functionality, data input to Asset Inventory and Engineering Document Management System (EDMS), SAP Ariba processing and corporate data systems including MS Access. You will also be required to create and control reporting documentation, produced via the various technical sections of the Maintenance Support team.


Who are we looking for?



Our Maintenance Administrative Support will provide essential administrative support to the wider Engineering Maintenance Team, particularly supporting our statutory maintenance activities and record keeping. Responsible for producing, tracking, reporting and maintaining associated asset data to support the effective delivery of projects, you will ensure that SAP work management and other corporate systems are maintained and updated appropriately. You will also:



• Provide administrational ad-hoc support to the Maintenance Support teams, preparing presentation documentation, printing project information, writing up reports and compiling Powerpoint presentations when required
  • Own the business processes delivered by your role
  • Update EDMS and other corporate systems and data records to support the quality control of documentation
  • Use SAP Ariba to raise purchase orders
  • Collate new asset data to update our systems, working with the various delivery teams and contract partners or physically gathering data from site surveys
  • Have an awareness of electrical, ICA and mechanical equipment appropriate for interrogating and updating corporate asset data as well as the requirements of the Statutory Maintenance contracts within the team and their data requirements
  • Maintain excellent standards and performance in health and safety and ensure compliance with the Yorkshire Water Safety Policy at all times
  • Support the development of a Department plan through the creation or input to local team plans and aligned objectives for team members
  • Be able to make judgement calls outside of normal procedures and processes, challenging methodology and existing processes where required
  • Develop and maintain good working relationships with colleagues and stakeholders as required
  • Maintain a sound understanding of current best practice as developed within Yorkshire Water as well as from external best practice studies.

Knowledge and Skills Required

Essential:

Our Maintenance Administrative Support will have proven experience in providing administrative support to wider teams within a business, being able to work with minimal guidance with a methodical approach to managing complex workloads. You will also:



• Demonstrate good document management skills, being well versed in the use of the MS Office suite and Sharepoint, as well as having the knowledge and ability to use corporate systems to update asset data
  • Build capability through self-development, learning and progression, developing and maintaining effective internal and external relationships
  • Be highly organised with the ability to prioritise conflicting demands, respond to changing priorities and proactively self-manage your own workload whilst maintaining effective operational relationships
  • Have sound verbal and written communication skills (report-writing and presentation skills), with the ability to work across all levels of the business
  • Possess strong analytical and reporting skills with previous experience in interrogating corporate technical data systems and analysing and interpreting data
  • Hold a current valid driving licence and have the flexibility to travel across the Yorkshire region.

Desirable:



• Previous experience gained within the water or waste water sectors or within the broader utilities, process or manufacturing industry sectors
  • Previous experience in a commercially orientated and / or regulated environment
  • Previous experience of customer management and providing customer services through verbal and electronic interfaces.
