Information Governance Officer

Job description

We’re looking for an Information Governance Officer located at our Head Office in Westminster.

Dependent upon existing skillset and experience the salary range will be between £28,000.00- £30,000.00 per annum on a Full Time basis.

The post can be offered on a full-time (35 hours) or part-time basis. Flexible hours are available. Benefits include 25 days Annual Leave, pension schemes, staff discounts, healthcare and career progression on a Full Time basis and pro rata for Part Time.

What you’ll do:

We’re looking for an enthusiastic and committed individual who has previous data protection experience or knowledge. Information Governance is a high priority for Look Ahead. We work with a wide range of external organisations to support our customers and it essential that we manage data effectively to ensure we reduce risk and keep our customers and staff safe.

The Information Governance Officer (IGO) will play a pivotal role in this, working within a small team to deliver the Information Governance work programme and ensure compliance with relevant legislation, the Data Security and Protection Toolkit, Look Ahead’s policies and procedures and other relevant standards or guidance.

The IGO will work closely with staff across the organisation: providing advice and guidance, assisting with subject access requests, supporting data breach investigations, maintaining our register of personal data processing activities, and assisting with related risk assessments.

This successful applicant will help ensure that Look Ahead has good organisational systems in place and will maintain key documents, such as the information asset register and other logs. The IGO will assist with policy development, report on Key Performance Indicators to Information Governance Group and promote effective information management across Look Ahead.

Information Governance sits within the Business Intelligence Team and the IGO will also be expected to assist in the continued drive to improve data quality across the organisation.

About you:

Assist the IGM to implement a strong Information Governance framework by:

  • Maintaining key documents such as information asset registers, the ROPA and logs for data subject requests, DPIAs, data breaches etc
  • Preparing reports for Information Governance Group including performance data
  • Assisting with communications including awareness raising campaigns
  • Assisting with reviewing and implementing systems, policies and procedures
  • Delivering induction training to new staff

Support staff across Look Ahead with Information Governance by:

  • Providing advice and guidance to staff and customers; managing the internal mailbox and visiting services regularly
  • Working with Managers to respond to data subject requests, particularly subject access requests, preparing the responses and maintaining request logs
  • Assisting with data breach investigations, maintaining logs, ensuring follow up actions are implemented and sharing lessons learned
  • Supporting staff to complete data protection impact assessments and legitimate interest assessments, updating the record of processing activities (ROPA) where necessary
  • Supporting managers to comply with look Ahead’s Retention and Disposal Schedule

Supporting the Business Intelligence Team as a whole by:

  • Carrying out data quality audits
  • Working in accordance with Look Ahead’s Code of Conduct and equal opportunities policy
  • Carry out other duties commensurate with the role, as determined reasonable by Look Ahead.

Knowledge

  • understanding of the principles of the DPA, UK GDPR and PECR
  • Knowledge of data subjects’ rights and when they apply
  • Understand the purpose of data sharing agreements, Data Protection Impact Assessments and information security and data protection considerations
Desirable:

  • evidence of continuous professional development
  • intermediate skills in MS Office applications eg Word, Excel, PowerPoint and M365

Experience

  • Experience of working in an NHS, Social care or supported Housing environment
  • Supporting managers to complete DPIAs or legitimate interests’ assessments
  • previous experience of dealing with complex and confidential issues
  • monitoring Key Performance indicators
  • writing and presenting reports; and taking minutes
  • reviewing GDPR contract clauses and data sharing agreements
  • applying records management principles
  • working with data sets
  • support in the planning and delivery of projects

Knowledge

  • Knowledge of data protection within a supported housing environment
  • Applying data protection and PECR principles in practice
  • Familiarity with the Caldicott principles
  • Familiarity with the SIRO and IAOs’ roles and responsibilities in managing risk
